<p><strong>The Legal Secretary will provide secretarial and administrative support to the Principal and to the fee earners. You will also be required to,</strong></p> <ul> <li>Represent the firm in a professional and courteous manner</li> <li>Make and receive telephone calls in a professional and courteous manner</li> <li>Demonstrate a high level of accuracy and attention to detail</li> <li>Prepare legal documents and associated correspondence</li> <li>Respect confidential information</li> <li>Communicate key information to fee earners and update the Case management system accordingly</li> <li>Carry out general secretarial requests from senior management including making travel arrangements, booking hotels etc</li> <li>Log all calls received on behalf of fee earners and update CMS accordingly</li> <li>Work and contribute towards a team environment</li> <li>Support and assist the Principal and Legal team </li> <li>Liaise with external suppliers such as medical agencies and ATE insurers</li> <li>Complete dictation transcripts as and when requested</li> <li>Computer and administrative skills</li> <li>Have fast and accurate keyboard skills using digital dictation</li> <li>Carry out on request general secretarial and administration duties such as Typing/filing/scanning/copying</li> <li>Understand and demonstrate(after training has been provided)a working knowledge and be able to use the Pro Claim case management system</li> <li>Maintain management information for suppliers as advised by senior management</li> <li>Have a basic understanding of Microsoft Office Inc. Word &amp; Excel</li> </ul> <p><strong>Key performance indicators</strong></p> <p>The following are the key areas where your overall performance will be measured by your line manager on a daily basis and as part of your review process. You will be required to demonstrate examples of how you have satisfied and exceeded the required performance as part of your 6 monthly reviews</p> <p><strong>Dictation -</strong> You will be required to complete all dictation within 24 hours of receipt.</p> <p><strong>&nbsp;</strong></p> <p><strong>emails -</strong> You will be required to distribute all e mails received to the relevant fee earner and if required update the case management system accordingly. All e mails must be cleared from all relevant mailboxes before close of business each working day. Tasks must be set for the fee earner to review the incoming e mail.</p> <p><strong>Telephony &amp; Communication -</strong> You will be required to answer all inbound calls and also calls on behalf of the fee earners. You will be required to take messages and e mail the fee earner immediately.</p> <p>Details of the telephone call must be taken and a full file note be created on pro claim on ?take a call? and a task be set for the fee earner to review the claim within 24 hours-the note must be clear and concise and fully record the conversation</p> <p>You will be required to escalate any complaints raised against the company to the principal immediately providing details of the complaint and all relevant case details</p> <p><strong>After the Event administration - You will be responsible for the following</strong></p> <ul> <li>ATE request from relevant ATE insurer</li> <li>Send ATE spread sheet to nominated managers on a weekly basis</li> <li>Update ATE spread sheets and reports as requested</li> <li>Updating the Case management when ATE policy is received</li> <li>Ensure all policy numbers are correct</li> </ul> <p>Amend case management workflow documents as and when system changes are implemented</p> <p>Clear desk policy - You will be expected to adhere to the clear desk policy.
